How to search audio recordings for what was said

1. Describe the moment you want to recover

Begin with the idea, not just a guessed quotation. Recordings rarely use the same words you remember. Try a question such as “Where did we discuss the reason customers stopped during setup?” and list nearby terms such as “drop-off,” “onboarding,” and “activation.”

Add context when you have it: meeting name, speaker, project, date, language, or the decision that followed. Searching one distinctive phrase can work, but a small group of related concepts is more useful when the recording is conversational or contains paraphrases.

2. Turn recordings into searchable units

3. Account for messy real-world audio

  • Search names, places, and numbers separately from concepts.
  • Use nearby topics when the remembered wording is uncertain.
  • Search a date or event name to reduce unrelated matches.

If the result looks surprising, do not silently rewrite it into a cleaner sentence. Listen to the surrounding audio and preserve the distinction between what was said, what was inferred, and what was decided afterward.

4. Open the timestamp before relying on the result

A good result should take you to a short, playable window in the original recording. Listen before and after the matched segment so you can hear a correction, joke, question, or qualification that a transcript snippet may omit.

Write down the recording title, timestamp, speaker if known, and the surrounding decision or topic. For high-stakes work, compare the audio with meeting notes or another participant’s record. A timestamp makes a claim inspectable; it does not remove the need for context.
